Key Responsibilities include but are not limited to:
Exec PA Duties
Provide confidential, personal, administrative support to the Interim CEO &COO to include:
- Meeting management, and advance scheduling of LT, Exec and Board and committee meetings. Some diary management may be required.
- Travel bookings and meeting co-ordination for the senior team and the wider company.
- Liaise with Leadership Team to assemble and distribute the Board pack ahead of Board meetings.
- Co-ordination with Board members and their PAs
- Co-ordinate shareholder communications and interactions; support preparation of materials
- Manage communications, co-ordinate press releases internally and externally
- Co-ordinate with external stakeholders on behalf of Interim CEO & COO as required
- Maintain stakeholder contact lists, tracking sheets and distribution lists
- Document drafting, editing and formatting.
- Preparation of monthly expense submission.
- Minute taking, answering the phone, general meeting administration and miscellaneous (e.g., arranging refreshments).
- Prioritising and answering routine correspondence and emails.
- General administrative tasks.
- Due to the dynamic and agile nature of our company culture, a degree of flexibility will be required in terms of support requirements and hours e.g. occasional out of hours work depending upon milestones and Board schedules / to cover US time zones. Flexibility will be given so that additional hours can be reclaimed as time off in lieu to support a good work life balance.
Paralegal Support
- Provide paralegal support including drafting letters, template CDAs, contract terminations and the like, as requested by Interim CEO & COO and /or VP of Outsourcing.
- Provide administrative support for the Corporate Data Room, ensuring accuracy of information and redaction of sensitive data from legal contracts.
- Support the maintenance of accurate, inspection-ready documents and records and provide outsourcing administrative support.
