Terms & Conditions

 Registration for our events

Please only register for events if you can make it to those meetings. BioTuesdays are free for delegates from biotech and healthcare companies who are Full Members of OBN, free to attend for our Sponsors as well as Academics, while Associate Member companies get one free place and pay £21.50 + VAT for further delegates, and everyone else must pay £42.50 + VAT to attend. If you want to attend but your company is in genuine financial hardship, or if you are a contractor between roles, or another special case do contact us to make your case for a fee waiver.

If you wish to benefit from the investor fee waiver for BioTuesdays, please communicate a summary of your life sciences investment activity to the OBN office, which will be considered for the waiver.  To benefit from the waiver, you must register as an employee or director of the company which made the investment, and you will appear linked to that company on our programme, badge and attendance list, which we reserve the right to publish.  OBN will automatically administer the BioTuesday investor fee wavier to employees, partners and directors of VC firms active in the life sciences.

If you want to attend and you are not sure if your company is a member of OBN at the moment, contact Jon Rees to discuss on 01865 594642. Tickets will be allocated on a first come first served basis following despatch of this invitation with a waiting list in operation should we exceed venue capacity. Fees should be paid in full before each meeting.

 

Cancellation policy

Refunds will be made for delegates, minus a 10% administration charge until a cut off date of 5 working days before an event, see separate cancellation policy below for BioTrinity. No refunds will be made after this date, however, you may send a substitute delegate from your company. "No-shows" will be billed for the full registration fee, as we are fulfilling our event obligations which have fixed costs. All refunds will be processed after each event.  Refund will not be made for the cancellation of exhibition stand space or other promotional opportunities unless stated on that events promotional material.

Substitutions policy

You can subsitute a delegate up to 48 hours before events. Please register your replacement delegate with the OBN office by telephone or email.

 

Terms and Conditions - BioTrinity Conference (Sponsors, exhibitors, advertisers and delegates)

1. For the purposes of these terms and conditions, 'the Company' shall mean Oxford Brookes Enterprises Limited, 'the Event' shall mean the BioTrinity 2008 to be held in Oxford between 15th and 16th April 2008, 'Organisation' shall mean as relevant the person who has completed the delegate registration application form and/or the organisation which s/he is representing and 'Premises' shall mean the Event venue.

2. The Organisation shall pay 100% of any fee due to the Company forthwith and in advance of the Event taking place.

3. The Organisation acknowledges that failure to pay in accordance with clause 2 above shall entitle the Company to refuse entry to or use of any space at the Event to the Organisation and/or its representative(s).

4. In the event that the Organisation cancels any reservation or part of any reservation the following cancellation charges shall
apply:

If it cancels the registration or part thereof before 3 months from the date of the event: NIL

If it cancels the registration or part thereof between thirty (30) days and three (3) months from the date of the Event: 75% of the relevant fee

If it cancels the registration or part thereof less than thirty (30) days from the date of the Event: 100% of the relevant fee.

5. The Organisation may substitute a delegate up to 11th April 2008 provided that this is conveyed via email to the Company and then by filling in a fresh application form and stating in the comments box on the form the name of the person s/he is replacing. The replacement delegate will take over the partnering meetings agreed by the original delegate, although these can be cancelled if the meetings are no longer relevant.

6. The Company reserves the right to cancel the Event at any time in which case it shall refund any monies paid as at clause 2 above. The Company shall have no further liability to the Organisation in such circumstances.

7. The Organisation shall obey the instructions and/or directions of any responsible member of the Company's staff and/or any responsible member of staff associated with the Premises and shall ensure that its representatives required to attend the Event shall do the same.

8. The Organisation shall comply with any rules and regulations associated with the Premises and shall ensure that its representatives required to attend the Event shall do the same.

9. The Organisation, shall not sublet any exhibition space that it has booked at the Event.

10. The Organisation shall not apply any substance or coating including without limitation any paint, lacquer or adhesive, to the Premises or to any property at the Premises.

11. The Organisation shall not remove or dismantle any display or part thereof of the Organisation until 17:00 hours on 16th April 2008 but shall remove any such display by 21:00 hours on the same date.

12. Should the Organisation fail to remove any display as indicated in clause 11 the Company may remove the said display and dispose of it as it sees fit and/or the Organisation shall reimburse the Company for any expenses the Company may incur.

13. The Company reserves the right to refuse entry to the Event to the Organisation and/or any person attending the Event because of the Organisation if the Company believes that it would be detrimental to the Company's business or property or the business or property of the venue provider to permit entry

14. The Organisation shall take out full public liability insurance as appropriate to its activities at the Event.

15. The Company does not accept liability for loss or damage to the Organisation's property nor shall the Organisation hold the venue provider liable for any such loss or damage. Should despite this clause 10 the Company become liable to the Organisation any such liability shall be limited to any fee paid in respect of the Event as at clause 2 above.

16. Save where such claim or expense arises as a result of the Company's negligence the Organisation shall indemnify the Company against any claim or expense whether in respect of personal injury or damage to property or otherwise relating to its attendance or proposed attendance at the Event. For the avoidance of doubt this clause shall apply where the Company shall become liable should the venue provider not be able to honour any commitment to a third party.

17. The Company shall incur no liability to the Organisation if the Company is prevented or hindered by any cause whatsoever beyond its control from holding the Event and/or from making any provision at the Event and in particular but without prejudice to the generality of the foregoing by Act of God, war, riot, civil commotion, Government controls, restrictions or prohibitions or any other Government act or omission whether local or national, fire, flood, subsidence, sabotage, accident, strike or lock out and shall not be liable for any loss or damage resulting therefrom suffered by the Organisation.

18. The Company shall not be responsible for any information or the use of any information provided by the Organisation to a third party.

19. The Company offers no warranties in respect of services provided at the Event.

20. If a competent court declares any of these terms and conditions unenforceable all other terms and conditions shall remain of full force and effect and the unenforceable term and/or condition shall endure to the extent permissible.

21. These terms and conditions shall be governed by the laws of England.


What information do we collect? How do we use it?


When you register to use the system, we need to know your name, e-mail address, and your company name and address so we can approve your registration. This allows you to login to the system and receive emails about news and events in the region.

Oxfordshire Bioscience Network shares a database with UK Bioinformatics Forum (UKBF), another network which is managed by the OBN Team. Registering on the Oxfordshire Bioscience Network website or for our events means that you may receive marketing communications from us.

Your name, job title, company and email address are used to compile attendance lists, when you register for an Oxfordshire Bioscience Network or a UKBF event. These details may be distributed to other event attendees before, during or after events to encourage partnering; other than this Oxfordshire Bioscience Network does not give or lend your contact information to other companies or individuals.

The terms and conditions of entering the OBN BioTuesday champagne draw by posting your business card in the prize draw hat at our events includes agreement to receive marketing communications from us.

Although we may include information we think you might find valuable, 3rd party marketing material or other material in our own communications to registered individuals or companies.


How do we protect customer information?


As required by the UK Data Protection Legislation, we follow strict security procedures in the storage and disclosure of information which you have given us, to prevent unauthorised access.

Since July 2005 we have not generally made delegate email address available to other delegates in attendance lists provided to event delegates.  Should you wish to contact another delegate who you met at one of our events, you are welcome to send a contact request email to us which we will forward to your desired contact, allowing them the grace to reply if they wish.  Should you wish your name and company name to be absent from an event for which you have registered, for security purposes, you should contact us a specify your invisibility on the attendance list.


What can you copy from this site?


All information contained in this web site is, to the extent possible, copyrighted and otherwise proprietary.

 

You may not copy any material from a Company Profile, Partnering Profile, nor any of the following types of information Corporate Mission/Description, Partnering Profile, Financing History, Licensing Opportunities, Product Pipeline, Senior Management, Board of Directors nor Personal Details.  You may not copy any other information about a company with prior permission in writing from OBN.  You may not re-publish information made available to your as part of your membership of OBN, without priori permisision in writing from OBN.

You may not copy our newsletters (electronic or otherwise) but you may forward them to your contacts and colleagues.

 

You may use certain information from this web site, unless covered by the exceptions listed above provided that (1) you acknowledge OBN as the source, include the OBN URL (2) you make no modifications to it.

 

Terms and Conditions of Membership

 

Company Membership covers all employees, who may register to use the OBN website using their corporate not personal email address for identification purposes.  OBN Annual Sponsors will be considered Full Members of OBN. The products and services advertised are offered to members only after discussion and agreement with OBN, its suppliers and contractors, and according to availability.  Membership package options are subject to availability. All meetings and consultations provided as benefits to members are for up to 1 hour.  OBN membership dues are based on the calendar year. Meeting room bookings to be made through the OBN office.  OBN reserves the right to change the benefits on offer.  All offers are subject to availability. OBN reserves the right to withdraw or alter the list of benefits without notice. Membership fees are non-refundable under any circumstances. OBN reservers the right to vary the membership fees at any time.

 

Recording of Calls

Please note that calls to OBN may be monitored or recorded for training purposes.
